Privacy Policy
Last updated: 4 August 2026
1. Who we are
This Privacy Policy explains how Klaros (Pty) Ltd, Reg. No. 2026/377791/07, of 32 Fisk Road, Noordheuwel, Krugersdorp, 1739, South Africa ("Klaros", "we", "us") collects, uses, and protects information when you use our website and the Klaros platform at tool.klaros.co.za (together, the "Service").
This policy is written with reference to the Protection of Personal Information Act 4 of 2013 ("POPIA"). If you are located outside South Africa, other laws may also apply to you; this policy does not attempt to cover every jurisdiction.
2. Information we collect
We collect information in a few different ways:
- Account information you give us when you register or subscribe, such as your name, company name, email address, phone number, and billing details.
- Usage information about how you use the Service, such as log-in times, searches performed, and pages viewed, collected automatically as you use the platform.
- Technical information such as IP address, browser type, and device information, collected through standard web logs and cookies.
- Communications you send us, for example when you contact us for support or with a query.
3. Trade data and anonymization
The core of the Klaros platform is South African customs import and export data sourced at Movement Reference Number (MRN) level. This underlying trade data is presented to subscribers with individual trader identities protected behind an anonymous ID — Klaros does not display the underlying trader's identifying details as part of the trade data shown on the platform.
This anonymization applies to the third-party trade data shown within the platform. It is separate from the personal information we collect about you as a subscriber (such as your own account and billing details), which is handled as described in this policy.
4. How we use information
We use the information we collect to:
- Create and administer your account, and provide access to the Service;
- Process subscription payments and manage billing;
- Communicate with you about your account, service updates, or support requests;
- Maintain the security and proper functioning of the platform;
- Improve and develop the Service; and
- Comply with our legal and regulatory obligations, including tax and financial record-keeping requirements.
5. Legal basis for processing
We process personal information where it is necessary to perform our contract with you (for example, to provide the subscription you've signed up for), where we have a legal obligation to do so, where you have given consent, or where we have a legitimate business interest that is not overridden by your rights.
6. Sharing of information
We do not sell personal information. We may share information with:
- Service providers who help us run the platform, such as hosting providers and payment processors, under appropriate confidentiality obligations;
- Professional advisors, such as auditors or legal counsel, where necessary; and
- Regulators or authorities, including SARS, where required by law.
7. Data security
We take reasonable technical and organizational measures to protect the information we hold against loss, misuse, unauthorized access, and disclosure. No system can be guaranteed to be completely secure, but we work to keep information appropriately protected.
8. Data retention
We keep personal information for as long as needed to provide the Service and for as long as required afterward to meet our legal, tax, and accounting obligations, after which it is deleted or anonymized.
9. Your rights
Subject to applicable law, you have the right to ask us to confirm what personal information we hold about you, to request access to it, to ask us to correct or delete it, and to object to certain kinds of processing. To exercise any of these rights, contact us using the details below.
If you believe your information has not been handled properly, you also have the right to lodge a complaint with South Africa's Information Regulator.
10. Cookies
Our website and platform may use cookies and similar technologies to keep you signed in, remember preferences, and understand how the Service is used. You can usually control cookies through your browser settings.
11. Children's privacy
The Service is intended for business use and is not directed at children. We do not knowingly collect personal information from children.
12. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page shows when it was last revised.
